Outlook Calendar Integration

If your team uses Microsoft 365, appointments should land in your Outlook calendar. The assistant checks available times and books appointments straight into your calendar.

Overview

Your meetings, time off, and work plans are already in your Outlook calendar. MHS Links AI connects to your Microsoft account through secure authorization, and the assistant takes your busy times into account when it suggests appointments.

When the customer picks a time, the appointment is added to your Outlook calendar and the details are sent to the customer on the channel they’re using. The conversation summary and intent score are logged in the CRM, so your team goes into the appointment prepared.

What You Can Do

Real-Time Availability

The assistant checks the busy times in your calendar and suggests only the times that work.

Straight into Your Calendar

The time the customer picks is added to your Outlook calendar as an event, with all the details.

Works with Your Calendar

Your working hours, appointment lengths, and any breaks you want between appointments are set during setup.

Summary in the CRM

With each appointment, the conversation summary and intent score are logged in the CRM, so your team goes in prepared.

Setup Steps

  1. 01

    Connect Your Microsoft Account

You grant access to your calendar on Microsoft’s secure authorization screen, without sharing your password.

  2. 02

    Choose the Calendar and Rules

Together, we choose the calendar for appointments, your working hours, and appointment lengths.

  3. 03

    Prepare Your Scenarios

Based on your services, the assistant is set up to know which meeting to offer for which request.

  4. 04

    Test and Go Live

We test the flow with a sample appointment; once you approve, the assistant starts booking appointments.

Requirements

  • A Microsoft 365 work account or an Outlook.com account
  • An up-to-date Outlook calendar for appointments
  • Your IT administrator’s app approval, if your organization requires it

Data and Security

  • The connection is set up through Microsoft’s official API and secure authorization steps; your password is not shared.
  • The permissions requested are shown clearly on the authorization screen, and you can remove access at any time in your Microsoft account settings.
  • The assistant answers only from the information you upload. When it doesn’t know something, it doesn’t make things up; it hands the conversation to your team.
